Reporting to the Human Resources Manager,

Position

Administrative Management

  • Manages personnel administration from the time an employee joins the company until their departure.
  • Ensures that all personnel files and all procedures related to employees’ time at the company comply with current legislation.
  • Prepares all documents related to an employee’s arrival and provides them to the employee upon arrival.
  • Monitors the SKELLO and LUCCA software systems on a daily basis. Provides advice and training to department heads on using the software.
  • Handles the administrative aspects of employee departures (final pay, retirement benefits, severance pay, etc.)
  • Manages all legal aspects related to employment contracts.
  • Manages the scheduling of medical examinations and follow-up with the occupational health department.
  • Manages workplace accidents in accordance with company standards and applicable laws.
  • Manages third-party notices.
  • Manages and updates all HR dashboards requested by the department, company management, or the corporate group.
  • Manages employee health insurance enrollment.

Payroll

  • In collaboration with the HR Manager, manages the entire payroll process, including the collection of variable pay components, paid time off, sick leave, and workplace accidents, and takes the necessary steps with the relevant agencies.
  • Manages payroll procedures in accordance with company standards and applicable laws.

Recruitment and Onboarding

  • Works with the HR Manager to manage the recruitment and onboarding of employees (defining needs, drafting and posting job openings, pre-screening candidates, conducting interviews, etc.) and maintains relationships with schools.
  • Contributes to the development of the employer brand.
  • Manages the onboarding of apprentices and interns (administrative follow-up, liaison with various departments, welcome, integration).

Training

  • Manages the tracking of mandatory training.

Social Compliance

  • Ensures ongoing legal monitoring of legislative changes, updates to the Labor Code, the Social Security Code, and social and tax legislation, and case law, in order to safeguard the company’s interests and implement corrective actions as necessary.
  • Ensures that company procedures and applicable laws are applied and complied with across all departments of the company.
  • Ensures that legal administrative obligations are strictly followed, such as organizing and monitoring medical examinations, and updating and maintaining the personnel records.

  • Payroll: Proficiency in payroll (organization, attention to detail, and accuracy)
  • Knowledge of labor laws: Staying up to date on laws and regulations affecting the human resources field
  • Project Management: Ability to manage multiple projects simultaneously, meet deadlines, and prioritize tasks
  • IT Tools: Proficiency in Excel, HR software (HRIS), and project management tools
  • Data analysis: Ability to interpret HR data to make informed decisions and measure the impact of HR policies
  • Proficiency in English
